A wholesale bundle can look profitable on the floor and still lose you money if faults, missing sizes or weak pieces hit your listings unchecked. Knowing how to inspect wholesale garments quickly is what separates stock that sits from stock that turns into cash. The goal is not to find a perfect piece every time. It is to grade accurately, price honestly and get the strongest items live without delay.
For a vintage reseller, inspection is part of sourcing, not an admin job for later. Build it into the moment your stock lands. A fast, repeatable process protects your feedback, keeps your rails looking sharp and tells you exactly where the margin is in every bundle.
Set up a fast inspection station
Do not inspect stock in a dark corner while juggling photographs, messages and packing orders. Give yourself a clear table or rail, good overhead lighting and a daylight lamp if possible. Stains, fading, bobbling and small holes can disappear under warm, low light, then become very obvious to a buyer when they open the parcel.
Keep a lint roller, fabric shaver, tape measure, stain-treatment products, spare hangers and a phone or notebook nearby. You want to decide each garment's next move in one pass: list now, clean or repair, sell as lower grade, bundle as an add-on, or remove from resale stock.
Sort by category as you unpack. Put Levi's denim with denim, branded fleeces with outerwear, graphic tees together, and so on. This makes it easier to spot inconsistent sizing, repeated colourways and pieces that are better sold as a themed drop. It also stops a strong item getting buried under stock you have not yet touched.
How to inspect wholesale garments in the right order
Start wide, then go close. First, hold the garment up and assess its overall selling power. Is it a recognisable brand? Does the colour work? Is the print strong? Is the shape current for your customer? A clean Ralph Lauren knitwear piece with a clear logo may need only a quick check before listing. A plain sweatshirt with heavy wear needs a tougher commercial decision.
Then inspect the garment systematically. Check the front, back, sleeves, collar, underarms, side seams, cuffs, hem and inside labels. For trousers and jeans, check the waistband, crotch, inseam, knees, leg hems, pockets and zip or button fly. Turn it inside out where needed. That is where loose seams, thinning fabric and old repairs usually show up.
Pay special attention to high-friction areas. Underarms can hold deodorant marks or fabric wear. Cuffs and collars show grime. Knees and seat areas can be stretched, faded or torn. On workwear and denim, wear can add character, but only if it looks intentional and is described properly. A natural fade on Carhartt trousers can improve the appeal. A blown-out crotch seam is a repair job or a lower-grade sale.
Use this simple four-part check for every piece:
- Fabric condition: holes, stains, odour, pilling, thinning, fading and marks.
- Construction: seams, hems, zips, buttons, snaps, drawcords and pocket linings.
- Brand and authenticity cues: labels, stitching, logo placement, wash tags and serial details where relevant.
- Resale readiness: size, style, seasonal demand, photographability and realistic selling price.
Grade faults for resale, not for perfection
Vintage buyers expect signs of age. They do not expect surprises. Your job is to distinguish between honest vintage wear and faults that change the value of the garment.
Light fading, minor bobbling, tiny pinholes away from key areas and a slightly softened print may be acceptable on a good branded tee. They can even support the vintage look. However, a stain across the chest, broken zip, missing button at the waistband, strong smoke odour or a hole in a highly visible area needs action before it goes live.
Be stricter with premium pieces. A The North Face jacket, Harley-Davidson tee or sought-after sportswear item can justify time spent cleaning, repairing or measuring carefully because the resale ceiling is higher. With low-value basics, labour can eat the margin. It may be smarter to sell them in a lower-grade bundle, use them as a market-rail filler, or include them as an add-on with a stronger order.
This is where many resellers get caught out. They treat every piece as though it deserves the same effort. It does not. A £10 potential sale cannot absorb 20 minutes of stain removal, steaming, mending, measurements and photography. Put your time where it pays.
Check sizing instead of trusting the label
Vintage sizing is unreliable. A labelled medium from the 1990s may fit like a current small, while an oversized 2000s hoodie can fit two sizes bigger than expected. Labels are useful, but measurements close sales and reduce returns.
Measure the key points for the category: pit to pit and length for tops; waist, rise, inseam and leg opening for trousers; and chest, length and sleeve length for jackets. Record measurements in centimetres or inches consistently across your shop. If something fits unusually small, cropped, boxy or oversized, say it directly in the listing.
Also look for alterations. Jeans may have been shortened, waists taken in or sleeves trimmed. These changes are not automatically bad, but they must be reflected in the measurements. A pair of vintage Levi's can still sell well after a hem alteration if the buyer knows exactly what they are getting.
Clean and repair only where it makes commercial sense
A lint roll, steam and quick fabric shave can transform a garment's presentation. These are high-return jobs because they make photographs cleaner and help stock feel ready to wear. Basic stain treatment can also be worthwhile, but test carefully on a hidden area first. Harsh products can bleach older dyes, damage prints and create a bigger problem than the original mark.
Simple repairs can work too. Reattaching a button, stitching a loose hem or replacing a cheap drawcord may save an otherwise sellable piece. Zips, major tears and fragile fabric are different. Unless you have the skills or a reliable local repair option, do not throw good time after bad money.
Never try to disguise a fault. If a mark remains after cleaning, photograph it clearly and mention it. Buyers are far more forgiving of a visible, accurately described flaw than one they discover after delivery. Straight descriptions protect your reputation and stop avoidable refund conversations.
Build an inspection system your team can repeat
If you are processing bulk lots regularly, your system needs to work when you are busy, tired or handing stock to someone else. Use the same grading language every time. For example, you might use ready to list, minor flaws, repair or clean, and bundle stock. Keep the wording simple enough that nobody has to guess what happens next.
Give each piece a stock code as soon as it passes inspection. That code should follow it through photographs, listings, storage and dispatch. It sounds basic, but it prevents the classic reseller headache: selling a jacket online, then spending twenty minutes hunting through three rails and a pile of unprocessed stock.
Take fault photographs before cleaning or repair if you are unsure whether the work will succeed. For stronger pieces, record the label, overall front and back, close-up logo, measurements and every notable flaw. This gives you the material to list quickly when your next drop is ready.

Know when to sell lower grade
Not every garment belongs in your main shop feed. That does not mean it has no value. Lower-grade branded stock can work for market traders, repair-and-custom sellers, upcyclers or bargain rails. A bundle of wearable but flawed sweatshirts may move faster than individual listings that need endless explanation.
Be realistic about what your audience buys. A distressed graphic tee with a faded print may be desirable to a Y2K customer. A stained corporate polo probably is not. Trend value, brand strength and condition always work together. Inspecting properly lets you make that call with confidence instead of hoping every piece will find a buyer.
