1. Introduction & Scope

At Best Vintage Wholesale, we’re more than a vintage wholesaler - we’re your resale partner. Born from the hustle of vintage reselling, we understand the thrill - and the frustration of subpar stock or unreliable suppliers. So when you buy from us, you’re getting the best, backed by clear, fair, and simple business‑to‑business policies.

Because you’re a reseller operating under B2B rules, this policy follows commercial regulations - not consumer law. Please review the full details below.

2. Product Grading & Description

Every box you receive is carefully sealed, sorted, and curated, with brands like Nike, Carhartt, and Ralph Lauren. We provide clear grading (Grade A/B/C/D) and honest descriptions to help you make decisions that power your shop - not hinder it.

That said, vintage means authentically pre-worn, so mild fading, wear marks, and minor variations are completely normal. Industry grading variance of around 10-15% is common and expected.

2.1. Grading Descriptions

  • Grade A: Items are in great condition with minimal signs of wear. While they are used, they remain free of significant defects and are in excellent shape overall.
  • Grade A/B: A mix of items in great and good condition. Some will be defect-free, while others will show signs of wear. There is no set ratio between Grade A and Grade B items included in our bales due to the nature of used/vintage clothing.
  • Grade B: Items are in good condition with some marks, small holes, or tears. Most marks can be removed with a wash. Available at a discount compared to Grade A.
  • Grade B/C: A mix of items with minor marks or small holes, along with items that show more visible wear like heavy stains or larger holes.
  • Grade C: Items show noticeable wear, including heavy staining and large holes or tears. These are available at a significant discount compared to Grades A and B.
  • Grade C/D: A mix of heavily stained items with large holes and some that may need repair.

3. No Change-of-Mind Returns

We do not offer refunds or returns for:

  • Change of mind
  • Disliking the style, mix, or individual items
  • Shop-fit or branding preferences

All sales are final unless there's a verified issue or error.

4. Authorised Returns Only

If there’s a genuine issue, you must request return authorisation first:

  • Grade A stock: Eligible for return if misrepresented or incorrect
  • Grade B/C/D stock: Not eligible for return due to discounted nature

To request a return, contact our team within 1 day of delivery with your #BEST order number, images, and a full description.

5. Timeframes & Conditions

  • Return request: Within 2 days of delivery
  • Return shipment: Within 5 days of authorisation
  • Inspection & decision: Allow up to 10 business days

Returned items must be sealed, unused, and in original condition. Unauthorised or altered returns will be refused.

6. Return Shipping & Customs

  • Return shipping is your responsibility
  • Use a fully tracked service - we are not liable for lost/damaged return shipments
  • International orders: Customs duties and import taxes are non-refundable

7. Refunds, Credit & Exchanges

Once a return is approved and received, the following options may be offered:

  • Grade A error: Refund, exchange, or store credit
  • Partial issues: Partial refund or credit
  • Major fulfilment error: Full refund (excluding original shipping costs/duties)

Refunds are processed to the original payment method or issued as credit (valid for 6 months). Please understand that we cannot process a refund to a different payment than used at checkout.

8. Restocking Fees & Handling

No restocking fees on valid returns. However, if returned items are damaged, used, or repackaged improperly, we may deduct a handling fee at our discretion.

9. Cancellations & Amendments

Orders cannot be cancelled. All orders are dispatched in under 24 hours, if you would like to add another item to your order, please email hi@bestvintagewholesale.com to amend/update your order.

10. Disputes & Quality Assurance

If you believe your Grade A order includes B/C quality items, submit a quality check within 1 business day with photos. We will review and resolve fairly with refund, credit, or replacement where appropriate.

11. Notes on Bales & B2B Regulations

  • Grade B/C/D stock: Non-returnable and non-refundable
  • This policy is for B2B transactions only; consumer laws do not apply
